To provide administrative support and co-ordination of the Sales team to ensure budget attainment and overall departmental efficiency.
Key performance areas include but not limited to:
Sales performance tracking; Input, extraction, analysis, interpretation and reporting from management information data points e.g. CRM, TBS etc.; Competitor analysis and tracking of revenue; Compile and file monthly Call Rate / Client Meeting reports; Co-ordinate and distribute information in agreed format, within specified timelines, in an effective manner
Coordinate the leads process; Capture and communicate accurate feedback; Assist with the monitoring of annual commitments; Reporting and consolidating media partnership reports; Assist in compilation of sales schedules; Birthday management; Folders on Shared Drive are created and kept updated; Assist and pull audio; Assists trade marketing and Account Executives with project management, managing activations and all associated trade marketing functions (such as invitations, RSVPs, guest lists, assist sourcing suitable venues,); Assist in managing the communication and distribution of trade marketing activities; Assist in organising internal and external events together with the relevant support departments; Daily traffic recon reports; Sourcing and briefing suppliers ; Providing catering for meetings; Coordinate and plan travel arrangements
Office Administration/Sales Management Support
Development and maintain systems to optimise and ensure departmental efficiency; Diary management and co-ordination; Support sales management/team meetings by booking boardrooms and equipment; circulating agendas; taking and distributing minutes; following up on post meeting actions; General office duties – filing, photocopying, faxing, binding; Ensuring the departmental leave register is updated; Monthly processing tracking of expense claims and credit card recon; Facilitate petty cash; Managing and ordering stationery and paper; Office magazines/newspapers subscriptions per handling and distribution; Assist with the general tidiness and organisation of the sales office; Administrative implementation and integration of new employees; Identify and address escalating issues that may impact on the department; Flexibility to take on new and different tasks as directed by Sales Management.
A Matric or equivalent qualification with some secretarial, admin or project management courses preferred.
